Privacy Policy

Kudos is a Slack application developed and operated by Crowdlinker Inc. ("Crowdlinker", "we", "us", or "our"), a product and engineering studio based in Toronto, Canada. This Privacy Policy explains what data we collect when you install or use the Kudos Slack app, how we use it, and your rights regarding that data.

By installing Kudos in your Slack workspace, you agree to the practices described in this policy.

What we collect

Kudos collects only the minimum data required to operate the app:

Slack workspace information — your workspace ID and name, collected during OAuth installation to identify which workspace the app serves.
Bot access token — a Slack OAuth token granted during installation, used solely to post kudos messages on the app's behalf. This token is stored securely and never shared.
Kudos records — when a user runs /kudos, we store: the Slack user ID and display name of the sender, the Slack user ID(s) and display name(s) of the recipient(s), the kudos message, the channel ID, and a timestamp.

We do not collect email addresses, phone numbers, real names, payment information, IP addresses, profile photos, or any data beyond what is listed above. We do not run ads, analytics trackers, or pixels on this site or in the app.

How we use it

To post kudos shoutout messages to the appropriate Slack channel.
To display a leaderboard of top kudos recipients within your workspace.
To populate the Kudos App Home tab with recent shoutouts.

Kudos message keywords are sent to Giphy to fetch a relevant GIF. No user IDs or personal information are included in Giphy requests — only anonymous, extracted keywords (e.g. "celebration", "great work").

Data storage & security

All data is stored in a PostgreSQL database hosted on Supabase, located in Canada. We apply commercially reasonable technical and organizational safeguards to protect stored data, including encrypted connections and access controls restricted to the Kudos application.

Data retention

Kudos data is retained for as long as your workspace has the app installed. When you uninstall Kudos from your workspace, your workspace's installation token and all associated kudos records are permanently deleted from our database.

Sharing & disclosure

We do not sell, rent, or share your data with third parties for commercial purposes. Data may be disclosed only in the following limited circumstances:

As required by applicable law or a valid legal order.
To Giphy, in the form of anonymous keywords only (no user IDs or names).
In connection with a corporate transaction (merger, acquisition), in which case the same protections under this policy continue to apply.

Your rights

As a workspace administrator, you can remove Kudos from your workspace at any time via Slack's App Management settings. Upon uninstall, all workspace data is deleted as described above.

Third-party services

Slack — the platform through which the app operates. Slack's own Privacy Policy governs data processed within Slack.
Giphy — receives anonymous keywords to fetch GIFs. See Giphy's Privacy Policy.
Supabase — our database host. Data is stored in Canada under Supabase's infrastructure controls.

Changes to this policy

We may update this policy from time to time. If changes are material, we'll update the "Last updated" date above and, where possible, notify workspace administrators. Continued use of the app following any update constitutes acceptance of the revised policy.
